Tally has served India for 35 years. In 2026, roughly 1.5 million active licenses still run somewhere in Indian small business. But every year, 60,000+ move to cloud ERPs — for mobility, WhatsApp, AI, multi-branch and free tiers. If you're considering the switch, this is the migration playbook.
Written from 3,800 real Tally-to-SaathiX ERP migrations in 2025-26, it covers what breaks, what your CA needs, and how to move without a single day of billing downtime.
Why businesses migrate from Tally in 2026
Reason 1: Cloud + mobility. Tally Prime desktop can't be accessed from phone or branch counter without a Tally-on-Cloud add-on (₹8,000+/user/year). Multi-branch live sync needs a lot of work.
Reason 2: WhatsApp + AI. Neither is native in Tally. Third-party add-ons exist but need setup, monthly fees, and don't integrate deeply.
Reason 3: Free tier. Tally has no free tier. SaathiX ERP, Zoho and myBillBook all offer real free tiers.
Reason 4: Onboarding staff. Cashier training on Tally: 1-3 days. On modern ERP: 30 minutes.
Reason 5: E-invoice + e-way + GSTR auto-prep. Available in Tally, but often as add-on utilities. Cloud ERPs bake them in.
Reason 6: Real-time reports on phone. Tally reports need to be exported. Cloud ERP dashboards are live on any device.
When you should NOT migrate from Tally
Case 1 — Your CA insists and does all your books; you never touch Tally. Then Tally is fine — it's the CA's tool.
Case 2 — You have massive TDL customisations that a partner built over years. Rebuilding those is not trivial (though modern ERPs need less customisation).
Case 3 — Your team is happy, your business is single-branch, and you're at the tail end of a career. Change management cost may not be worth it.
Case 4 — You've prepaid Tally AMC for 3 years — finish it, then evaluate.
Everyone else — migration usually pays back within 2-4 months in productivity + WhatsApp revenue lift.
The 30-day migration timeline
Week 1 (Days 1-7): Discovery + freeze. Audit what lives in Tally — Companies (books), masters, custom TDL. Freeze new TDL work.
Week 2 (Days 8-14): Trial run in cloud. Import a copy of Tally data to SaathiX ERP. Reconcile balances. Show CA.
Week 3 (Days 15-21): Parallel run. Enter every new bill in BOTH systems for a week. Compare.
Week 4 (Days 22-30): Cutover + Tally read-only. Switch billing to SaathiX ERP. Keep Tally read-only for a month for reference.
Post-30 days: Retire Tally. Archive the data file. Move on.
Step 1: What to export from Tally
Masters — Item master, party master, group master, unit master, currency, tax master. Export as XML via Tally's Export Master.
Vouchers — Sales, purchase, receipt, payment, journal, contra, credit/debit note. Export as XML by voucher type for the current FY.
Balances — Trial balance as of migration date (opening balances for the new ERP).
Reports — Save a snapshot of P&L, Balance Sheet, Stock Summary for reference/audit.
Custom TDL — Note down every custom feature; some will need replicating.
File size — Typical Tally company file: 50 MB to 2 GB depending on years of data.
Step 2: Map Tally masters to SaathiX ERP
Item master — Tally has 'Stock Items'. SaathiX ERP has 'Products'. Field mapping: name, HSN, unit, GST rate, opening stock, purchase price, sale price. Auto-mapped by SaathiX ERP Tally Importer.
Party master — Tally 'Ledgers under Sundry Debtors/Creditors'. SaathiX ERP 'Customers/Suppliers'. Field mapping: name, GSTIN, address, mobile, opening balance. Auto-mapped.
Group master — Tally hierarchical groups. SaathiX ERP simpler category system. May need manual re-grouping for 10-20% of masters.
Chart of Accounts — Tally has extensive groups. SaathiX ERP uses standard Indian COA. Mapping is one-time and usually straightforward.
Step 3: Import into SaathiX ERP
Method 1: Auto-importer — Upload Tally XML files. SaathiX ERP maps 90%+ automatically. 10-30 minutes for typical SMB data.
Method 2: Excel bridge — Export Tally to Excel, re-format if needed, upload to SaathiX ERP. More manual, more control.
Method 3: Concierge migration (enterprise) — SaathiX ERP team runs the migration for you. Included on Enterprise tier.
Post-import checks — Item count matches. Party count matches. Opening trial balance matches to the paisa.
Step 4: Handle opening balances correctly
This is where migrations succeed or fail. Rules:
Cash-in-hand + Bank — Enter as opening balance on migration date.
Sundry Debtors — Each debtor's opening balance from Tally, party by party.
Sundry Creditors — Same, party by party.
Stock — Item-wise opening stock with valuation (weighted average or FIFO — pick and commit).
Loans, TDS, GST payable/receivable — Enter each with correct nature.
Balance check — After all opening balances loaded, trial balance must tie to Tally's. Not close-enough — exact.
Step 5: GST continuity
Critical rule — Your GSTIN doesn't change. Your GST returns must be seamless.
Pre-migration — File GSTR-1 and GSTR-3B for the last full month from Tally.
Migration date — First day of a month. This makes GSTR reconciliation clean.
Post-migration — Next GSTR-1 and 3B are prepared in SaathiX ERP from imported opening data + new invoices. Reconcile with 2A/2B carefully in the first month.
IRN and e-way continuity — SaathiX ERP uses the same GSTIN, so IRN and EWB workflows resume seamlessly on the IRP portal.
Step 6: Get your CA on board
Your CA has trust equity built up over years with Tally. Handle this well:
Show, don't tell. Give your CA a demo login to SaathiX ERP a week before migration. Read-only. Free.
Export in CA-friendly formats. SaathiX ERP exports to Tally XML backup, to Excel, to standard formats. Your CA can continue using whichever tool they prefer for consolidation.
Grant read-only access. SaathiX ERP has free CA read-only access — no per-user fee.
Involve them in cutover. Have your CA verify trial balance and opening entries on Day 0.
In our cohort, 87% of CAs approved and signed off within a week of demo.
Step 7: Parallel run — the safety net
For 7-14 days, enter every new bill in BOTH Tally and SaathiX ERP. Yes, it's double work. But it catches every edge case.
What to compare daily — Bill count, total sales, total collection, stock ledger for top 20 items.
When to stop parallel run — When 5 consecutive days match exactly to the rupee.
When to abort migration — Very rare. In 3,800 migrations, only 4 aborted, all due to non-technical reasons.
Step 8: Cutover day (Day 30)
Morning — Final Tally backup. Final trial balance from Tally.
Cutover — Turn OFF new billing in Tally. Turn ON in SaathiX ERP.
First bill — At the counter, everyone celebrates. Take a photo.
Evening — Day-end from SaathiX ERP. Compare cash + collection to expected.
Tally stays — Read-only, for the next 30-60 days, as reference.
Step 9: The first month post-migration
Week 1 — Watch for edge cases. Any transaction type that didn't appear in the trial period may surprise. SaathiX ERP support is on WhatsApp.
Week 2 — File first GSTR-1 from SaathiX ERP. Compare to what Tally would have generated (from the parallel data). They should match.
Week 3 — Team confidence rises. Cashiers now prefer SaathiX ERP (usually).
Week 4 — First month-end close in SaathiX ERP. Compare P&L to Tally-projected. Investigate any variance > 0.5%.
The 10 most common migration issues (and fixes)
Issue 1: Item HSN mismatch. Tally often lets HSN be blank. SaathiX ERP requires it. Bulk-update via HSN Assistant.
Issue 2: Duplicate party names. Tally allows minor variations ('ABC Traders' vs 'ABC Traders '). Merge in SaathiX ERP.
Issue 3: Opening stock value mismatch. Usually due to FIFO vs weighted-average difference. Pick one and stick.
Issue 4: Missing TDS ledger entries. Enter as opening balance under 'TDS Receivable/Payable'.
Issue 5: GST liability opening. Tally sometimes lumps into 'Duties & Taxes' — split into CGST/SGST/IGST opening balances.
Issue 6: Custom TDL fields. Not directly portable. Replicate as custom fields in SaathiX ERP.
Issue 7: Multiple companies in Tally. Each becomes a separate SaathiX ERP workspace or a branch under one workspace, depending on setup.
Issue 8: Reverse charge (RCM) transactions. Ensure they carry over correctly with the RCM flag.
Issue 9: Foreign currency entries. SaathiX ERP handles multi-currency; verify FX rates carry over.
Issue 10: Cheque-in-hand entries. Post-dated cheques must carry over with correct due dates.
Costs — Tally vs SaathiX ERP over 3 years
Tally 3-year TCO — License (₹22,500) + AMC (₹6,750/year × 3 = ₹20,250) + Tally-on-Cloud (₹8,000/user × 3 users × 3 yr = ₹72,000) + WhatsApp add-on (₹12,000) + e-invoice utility (~₹6,000) = ~₹1,32,750.
SaathiX ERP 3-year TCO (Business tier) — ₹999/mo × 36 = ₹35,964. WhatsApp + AI + e-invoice + multi-branch all included.
Savings: ~₹95,000 over 3 years. Feature depth: higher. Team happiness: measurably higher.

The bottom line
Tally isn't wrong — it's just from a different era. In 2026, cloud, mobile, WhatsApp, AI and multi-branch are table stakes for Indian SMBs. Migration is a 30-day project with a 3-year payback measured in weeks. The businesses that make the switch don't look back. The ones who wait 'until next year' find themselves outrun by competitors who didn't wait.
