E-Invoice and E-Way Bill in 2026: The Complete Mastery Guide for Indian Businesses

IRN in 2 seconds. E-way in 5. Yet a third of Indian SMEs still get e-invoicing wrong. Here's the 2026 mastery guide — thresholds, workflows, exceptions, penalties.

E-invoicing has been mandatory in India since 2020, expanded every year, and by 2026 covers most B2B invoices from turnover > ₹5 Cr. E-way bills have been mandatory since 2018 for goods movement > ₹50,000. Yet a third of Indian SMEs still get one or both wrong — usually not by intent, but because their software makes it painful.

This is the 2026 e-invoice and e-way bill mastery guide.

What is an e-invoice (IRN)?

An e-invoice is NOT an invoice you email as a PDF. It's a specific technical workflow:

1. You create an invoice in your ERP.

2. Your ERP uploads the invoice details (JSON) to the IRP (Invoice Registration Portal).

3. IRP validates schema, checks buyer GSTIN, checks item HSN.

4. IRP returns an IRN (Invoice Reference Number) and a QR code.

5. You print the invoice WITH the IRN + QR code.

An invoice without an IRN when required is invalid — buyer can't claim ITC, seller is liable for penalty.

Who has to generate e-invoices in 2026?

Turnover-based — Any business whose turnover in any FY from 2017-18 onwards crossed ₹5 Cr must e-invoice for B2B, exports and credit/debit notes.

Sector-based — Certain sectors (SEZ suppliers, e-commerce operators covered under Section 9(5)) have specific rules.

Exempt — SEZ units (only supplies), banking, insurance, transport, cinema, goods transport agencies, and B2C invoices (no IRN needed, but B2C QR under Rule 46 for > ₹500 Cr).

Watch: the threshold has moved from ₹500 Cr → ₹100 Cr → ₹50 Cr → ₹20 Cr → ₹10 Cr → ₹5 Cr. Expect further reductions.

The IRN generation workflow

Method 1: Manual — Log in to einvoice1.gst.gov.in, enter invoice details, generate IRN. Feasible for 5-10 invoices a day. Painful beyond that.

Method 2: Offline Excel tool — Government's Excel tool. Bulk-generate up to 1,000 invoices at once. Still manual copy-paste.

Method 3: API via GSP or direct — Your ERP calls the IRP API, gets IRN, prints. This is what all serious businesses do.

SaathiX ERP uses Method 3 — every eligible invoice gets IRN + QR before it prints. Median time: 1.8 seconds.

Common e-invoice errors

Error 1: IRN generated but not printed. IRN must be visible on the printed/PDF invoice — the QR code specifically. Many ERPs generate silently and forget to print.

Error 2: Wrong document type. Tax invoice = INV, credit note = CRN, debit note = DBN. Wrong code = IRP rejects.

Error 3: HSN not in IRP master. IRP validates HSN against its master. Wrong or discontinued HSN gets rejected.

Error 4: Buyer GSTIN cancelled. IRP checks GSTIN status live. A cancelled buyer means no IRN.

Error 5: Late generation. From Nov 2023, IRN must be generated within 30 days of invoice date (for > ₹100 Cr; likely to tighten). Late = no IRN, invalid invoice.

Error 6: Duplicate IRN attempt. Once generated, an IRN can't be re-generated for the same invoice. Cancel via IRP within 24 hours if wrong.

E-invoice cancellation and amendment

Cancel — Within 24 hours of generation, via IRP. After 24 hours, only via credit/debit note.

Amend — Not supported at IRP. Cancel + reissue is the only path. From 2024, some minor amendments (buyer address) are being permitted — check current rules.

Credit/Debit note — Fully supported, each gets its own IRN.

What is an e-way bill?

An e-way bill (EWB) is a document required for movement of goods > ₹50,000 (₹1 lakh intra-Delhi, varies by state). It contains:

Consignor GSTIN, consignee GSTIN
Invoice number and date
HSN, quantity, value
Transporter GSTIN or vehicle number
Distance, validity

Generated on ewaybillgst.gov.in or via API.

When is e-way bill required?

Required — Any movement of goods > ₹50,000 across state or > ₹50,000 within state (varies: ₹1L in Delhi intra, ₹2L Tamil Nadu intra for some categories).

Not required — Movement < ₹50,000 (intra-state, subject to state rules), specified exempt goods, personal use goods, non-motorised transport.

Job-work — Even without value transfer, movement of goods to a job-worker requires EWB if value > threshold.

Stock transfer — Own branches, own vehicle — still needs EWB.

E-way bill validity

Validity = 1 day per 200 km (regular cargo). Over-dimensional cargo: 1 day per 20 km.

Distance ≤ 200 km — 1 day.

200-400 km — 2 days. And so on.

Extension — Allowed under exceptional circumstances (accident, breakdown), max 24 hours before expiry.

Expiry — An expired EWB with goods in transit = interception risk. Cargo can be detained, penalty 100% of tax.

E-way bill workflow

Method 1: Portal — Login, generate. OK for 1-5 per day.

Method 2: SMS — Registered users can generate via SMS to a specific number. Fast but limited.

Method 3: API — ERP integration. SaathiX ERP generates EWB in one click from any invoice — Part A + Part B (vehicle details) both handled.

Part A vs Part B

Part A — Invoice + consignor + consignee. Generated at the time of dispatch.

Part B — Vehicle number. Can be added later (e.g. when transporter confirms vehicle), but must be filled before movement.

Part A alone is not a valid e-way bill — Part B is required for actual movement.

The 5 most common e-way bill mistakes

1

Wrong vehicle number

RTO doesn't recognise. Update Part B via portal before dispatch.

2

Wrong distance

Under-declared distance = shorter validity = expiry mid-transit.

3

Consignor-consignee mismatch with invoice

Names/GSTINs must exactly match the tax invoice.

4

EWB not extended after breakdown

Any hold-up = extend within 24 hours of expiry.

5

Missing EWB for high-value stock transfer

Own vehicle, own branches, still needs EWB.

Penalties

No e-invoice when required — Invoice invalid. Buyer denied ITC. Seller: penalty under Section 122 (₹10,000 or amount of tax, whichever higher).

No e-way bill when required — Detention of goods + vehicle. Penalty = 100% of tax (if owner disputes) or 200% of tax if opts for penalty release.

Late e-invoice / e-way — Same treatment as 'not generated'.

Reality check — RTO enforcement varies by state. Gujarat, Karnataka and Maharashtra actively check. UP, Bihar less so, but changing.

Integration with GST returns

GSTR-1 — IRN'd invoices auto-populate. If you file GSTR-1 with an invoice that has an IRN, IRP data pre-fills the return. Consistency guaranteed.

GSTR-2A / 2B — Buyer's 2A/2B is auto-populated from your GSTR-1 (which is auto from IRN). Chain of trust.

E-way + IRN linkage — Once you generate IRN, EWB Part A is auto-created — you only add Part B (vehicle).

How SaathiX ERP automates end-to-end

Step 1 — You create an invoice. Enter buyer GSTIN (auto-validated), items (HSN auto-suggested), value.

Step 2 — Click 'Save & Print'. SaathiX ERP checks: does turnover mandate e-invoice? Is buyer B2B? Yes → auto-call IRP API.

Step 3 — IRN + QR received in ~1.8 seconds. Printed on invoice.

Step 4 — If goods movement is involved, prompt for transporter/vehicle. EWB Part A auto-created (already fed by IRP), Part B needs one field. Total time: 5 seconds.

Step 5 — WhatsApp the invoice PDF with IRN + QR + EWB to the buyer's registered number.

Step 6 — At month-end, GSTR-1 draft is pre-populated. Review, file.

Median total time — 12 seconds per invoice. Compare to 3-5 minutes in a manual workflow.

Edge cases every finance team should know

RCM (Reverse Charge) invoices — Buyer generates payment voucher; no seller IRN needed on the RCM part. But if you're the seller of an RCM-covered supply (like a lawyer to a business), you still issue a tax invoice — no IRN required (below ₹5 Cr turnover).

Delivery challan (job-work) — Not an invoice, no IRN. But EWB is required if value > ₹50K.

Bill of supply (composition scheme) — Not a tax invoice, no IRN.

Debit/credit notes — Full IRN required. Reference original IRN in the CDN.

Multi-item invoice split billing — Not allowed to avoid threshold; artificial splitting attracts penalty.

Cross-border (exports) — LUT-based zero-rated exports need IRN; SEZ supplies too (but SEZ unit's supplies out are exempt from IRN).

Free vs paid — SaathiX ERP tier breakdown

SaathiX ERP's free tier supports up to 100 e-invoices/month with IRN + QR generation. Paid tiers unlock unlimited IRN, direct EWB generation, GSP filing and priority support during audits.

Getting started in 5 minutes

1. Sign up at saathixerp.com.

2. Add your GSTIN and IRP credentials (or use SaathiX ERP GSP by default).

3. Create a test invoice with a B2B buyer.

4. See IRN + QR generated in real-time.

5. Generate EWB with one click if goods movement is involved.

6. Print, WhatsApp, done.

The bottom line

E-invoice and e-way are not optional in 2026. They're the connective tissue of GST — every invoice, every movement, every return is linked. Businesses that treat them as an afterthought pay in penalties, lost ITC and buyer relationships. Businesses that automate the workflow (12 seconds per invoice) save days per month. The choice is clearer than ever.

FAQ

Frequently asked questions

Is e-invoicing mandatory in 2026?

Yes, for businesses whose turnover in any FY from 2017-18 onwards has crossed ₹5 Cr. Some sectors have lower thresholds. Every B2B invoice, export, and credit/debit note requires an IRN and QR code.

How is e-invoice different from a regular GST invoice?

An e-invoice is a regular GST invoice PLUS an IRN (Invoice Reference Number) and a QR code, both generated by the government's IRP portal. Without the IRN, the invoice is invalid and the buyer can't claim ITC.

Can I cancel an e-invoice?

Yes, within 24 hours of generation via the IRP portal. After 24 hours, you must issue a credit note (with its own IRN) to reverse it.

What is the e-way bill validity period?

1 day for every 200 km of transit distance for regular cargo (1 day per 20 km for over-dimensional). Extension is allowed only in exceptional circumstances (accident, breakdown) within 24 hours of expiry.

What happens if my vehicle is stopped without an e-way bill?

Goods and vehicle can be detained. Penalty is 100% of tax if the owner disputes and appeals, or 200% of tax if released via penalty payment.

Does SaathiX ERP generate IRN and e-way bill automatically?

Yes — SaathiX ERP calls the IRP API and generates IRN + QR in under 2 seconds. E-way bill Part A is auto-populated from IRN; Part B (vehicle number) is a single-field entry. Total time: about 12 seconds per invoice.
